Deployment

How deployment works.

From the first site visit to a live system: a structured process delivered with your local implementation partner, or directly with us where no partner is available. Typically a few weeks end to end — driven mostly by collection size for tagging.

Four phases,
one clear path.

Every deployment follows the same shape: understand the site, connect the data, prepare the collection, and bring devices and staff live together.

1

Assess

Survey the spaces, gate placement, network, and existing hardware — and agree on what stays and what is added.

2

Connect

AtēnaOs integrates with your library system. Catalog, patrons, and loans stay where they are.

3

Prepare

Tag the collection and install kiosks, desks, and gates delivered by your implementation partner.

4

Go live

Train the staff, switch on, and monitor every device — with first-line support from your partner.

System live ✓

The process
in detail.

Six steps from first visit to live operation. Timeframes are honest ranges, not promises — the largest variable by far is how many items need tagging.

1

Site assessment

The deployment starts with a walkthrough of your library. Together with the implementation partner, we map the spaces and how patrons and staff move through them.

  • Entrance layout and where the security gates should stand
  • Kiosk and desk placement in the actual patron flow
  • Network coverage, cabling, and power at each device location
  • Inventory of existing hardware — what can be kept and reused
Typically one on-site visit
2

Connect your library system

AtēnaOs integrates with your library system. Your catalog, patron records, and loans stay exactly where they are — there is no data migration and no parallel records to maintain.

  • Integration configured and verified against real records
  • Branches and item identifiers mapped to the platform
  • No changes to how your library system is operated day to day
Usually a matter of days
3

Tag the collection

Every item receives an RFID label carrying its identifier — the same value as its barcode and catalog record. Tagging can be done by your own staff with Tag Studio, by the implementation partner, or both in parallel.

  • Encode and print labels in-house with Tag Studio, with each identifier checked against the catalog
  • Compatible existing tags can be kept — no forced re-tagging
  • Tagging proceeds shelf by shelf; the library stays open throughout
The main variable — days to weeks, depending on collection size
4

Install devices

Kiosks, desk readers, gates, and signage displays are installed at the positions agreed in the assessment. The hardware itself is specified during the partner consultation and delivered as a proven, working set — no proprietary lock-in, and suitable equipment you already own can often stay in service.

  • Kiosk software set up and configured on the touch display
  • Desk application installed at each staff workstation
  • Gates integrated with the network and verified against live loan data
  • Each device registered and licensed centrally in Admin
Typically a few days on site
5

Train the staff

Training happens on your own devices, with your own collection. Staff learn the desk workflows first — the tasks that fill a normal day — then the handheld tools used in the aisles.

  • Desk: patron lookup, batch lending, and gate permissions per item
  • One scan for barcode and RFID alike — no mode switching to learn
  • Handheld: inventory sessions, shelf-order checks, batch item edits, and tag finding
Usually one to two sessions
6

Go-live & support

The system goes live with the partner present. From that point on, every device reports its health continuously, and updates arrive centrally — no site visits for new versions.

  • Health monitoring for every kiosk, desk, and gate in Admin
  • Alarm history and analytics available at the desk from day one
  • First-line support from your local implementation partner, in your language
Go-live day, then ongoing

What to expect along the way

How long does it take?

Typically a few weeks end to end, driven mostly by collection size for tagging. The system connection and device installation are measured in days; tagging a large collection is the part that takes time — and it runs while the library stays open.

Who does the work?

Deployments are delivered through local implementation partners — installation, tagging, training, and go-live support in your language. Where no partner is available, we deliver directly.

What does it cost?

AtēnaOs is licensed annually per institution; implementation services are quoted separately based on the assessment. Request a quote for your library.
